Job Summary
Under the supervision of the Delivery Operations Manager, the Delivery Operations Coordinator provides day-to-day operational and administrative coordination for the Delivery Operations Division. This role supports program delivery with a strong focus on participant administration, paper-based and digital documentation, program logistics, financial tracking, wraparound support coordination, and evaluation.
Working closely with Program Managers and internal teams—particularly across Trades and Manufacturing projects, the Coordinator ensures operational requirements are consistently managed so program staff can focus on participants, partnerships, and program quality.
Job Responsibilities
1. Participant & Program Administration
- Coordinate participant registration, onboarding, and scheduling, with a focus on Trades and Manufacturing projects.
- Manage the full lifecycle of participant documentation, including registration, consent, eligibility, and funder paperwork, ensuring records are accurate and complete.
- Maintain operational trackers, dashboards, and databases to support program data gathering.
- Prepare, organize, and coordinate inventory, shipping, and returns for program materials, equipment, and resources.
- Assist Program Manager with administrative and operational logistics as needed.
2. Wraparound Support Coordination
- Coordinate the sourcing, communication, and tracking of participant wraparound supports in compliance with funder guidelines.
- Collaborate with Program Manager and external providers to connect participants with required services.
- Monitor pending support requests, track recurring participant barriers, and escalate operational issues as appropriate.
3. Financial & Operations Documentation
- Support program financial tracking, expense authorizations, purchase requests, and invoice processing.
- Support participant surveys and evaluation tools, logging data in designated tracking systems and following up on missing information.
- Maintain organized project records, schedules, and deliverables throughout the project lifecycle (initiation to closeout).
- Ensure source documentation is stored in designated repositories and accessible for internal reporting.
4. Internal Communication & Process Improvement
- Facilitate clear communication across teams, route inquiries, and prepare routine internal updates
- Identify administrative bottlenecks and help implement standardized templates, workflows, and tools to streamline operations and reduce administrative burden.
Attributes and Qualifications
Equal consideration will be given to non-academic skills and equivalent candidate experience.
- Post-secondary education in administration, business, program coordination, or a related field (or equivalent experience).
- 1–3 years of experience in program administration, operations, or project coordination.
- Strong organizational and time-management skills, with the ability to manage competing deadlines, complex schedules, and detailed records.
- High attention to detail, commitment to accurate record-keeping, and strict adherence to participants and financial confidentiality.
- Proficient with Google Workspace, spreadsheets, databases, digital tracking systems, and detailed paper-based documentation.
- Strong written and verbal communication skills, with a professional approach to interacting with participants, staff, contractors, and partners.
- Adaptable and comfortable learning new systems, digital tools, and workflows.
Preferred Assets:
- Experience in employment, workforce development, Trades, Manufacturing, or skills-training programs.
- Experience coordinating participant logistics (registration, scheduling, travel, events) or financial administration (invoices, expense tracking).
- Experience working with rural, remote, Indigenous, or other diverse communities.
